What Information Does Workpex Collect?

We only gather your information if we have a fair reason. Workpex will have information about you under the following occasions:

  1. You provided the information to us.
  2. We obtained the information automatically.
  3. We received the information from a third party.

We will describe the three categories and the data collected for each. The situations that fall under these categories will also be outlined.


Information That You Provide Us

1. Account Signup:

To access our services, we'll need your name, contact info, company name, and country. You'll also choose a username and password. Optional information includes a photo, time zone, and language. A security question is only needed for password resets.

2. Event registrations and other form submissions:

We collect the information that you provide in the following instances:

  1. When you register for events, such as webinars or seminars,
  2. When you sign up for our newsletter or any other mailing list,
  3. When you fill out a form to download products, whitepapers, or other materials,
  4. When you participate in contests or surveys,
  5. When you submit a form to request customer support, receive a quote, or contact Workpex for any other reason.

3. Payment processing :

Please give your name, contact info, and payment details to buy. We save the cardholder's name, address, expiration date, and last four digits. We only keep part of the card number. With your consent, we may store payment info encrypted for future transactions.

4. Testimonials :

If you allow us to share your feedback, we may use your name and personal details in testimonials. You can review and approve the testimonial before we publish it. Contact us at [email protected] if you want to modify or remove it.

5. Interactions with Workpex :

We monitor your communication with our team to improve interactions with you and other customers. We may also use your info for other purposes. We may email you about updates to our policies, new products/services, and events. We set up/maintain your account, analyze user behavior, provide support, and monitor for fraud. We use your information to improve our services and offer relevant products. We also analyze trends and track visitor behavior to improve their experience.
Your choice of information use

  • Use the 'unsubscribe' function to stop receiving unnecessary emails. You'll still get important notifications and payment-related emails.
  • To disable cookies, turn off your browser's cookie settings before accessing our websites. However, keep in mind that doing so may require assistance to properly utilize specific features of the websites.
  • You don't need to provide optional profile info or a photo. You can delete or change any info you've given before. And you can leave non-mandatory fields blank on any forms.

At Workpex, we ensure that all entities listed here have access to the information covered in Part I. We do not engage in selling any personal information. We share your information only in accordance with this Privacy Policy and solely with parties who uphold appropriate confidentiality and security measures.

  • Employees and independent contractors: Only relevant Workpex group entities' employees and contractors are granted access to the information covered in Part I on a need-to-know basis. We expect all Workpex group entities' employees and independent contractors to comply with this Privacy Policy when handling the personal information we share with them.
  • Third-party service providers: We share personal info with third-party service providers, like marketing and payment processors, but they only use it as needed to provide their services to us.
  • Reselling partners: We may share your info for product/service notifications with reselling partners.

You can opt out of working with any partner. Your privacy is important to us.
As a controller, Workpex respects your rights regarding the information we hold about you, particularly if you reside in the European Economic Area (EEA). Regardless of your place of residence, we promise to honor these same rights.

The Information Entrusted To Workpex And Its Purpose

Information provided in connection with services: When using our services or requesting technical support, you may provide us with information about your customers or employees. We take the security of your information seriously.

Information from mobile devices: Our mobile apps may request access to your device's camera, microphone, call history, contacts, photos, files, and location data. Location info is only used for mapping and shared with mapping providers. You can disable access at any time in device settings. We call all this "service data."

Ownership and control of your service data:

We acknowledge that you have ownership over your service data. Therefore, we grant you full control over it through the following means:

  1. Access your service data.
  2. Share your service data through supported third-party integrations.
  3. Request export or deletion of your service data.

How we use service data?
We use your data to create invoices or send marketing emails based on the services you choose.

Push notifications:
If you receive push notifications from us, you can manage your preferences or turn them off in your application or device settings. These notifications are sent via providers like Apple, Google, or Windows.

Who do we share service data with?
The Workpex group collaborates with other group entities and third-party sub-processors to ensure efficient services and technical support for our products.

  • Employees and independent contractors: Our employees, who are independent contractors of the Workpex group entities involved in providing services, may be given access to your service data. This is to enable them to perform their duties effectively.

Our tasks include identifying, analyzing, and resolving errors. Additionally, we manually verify emails that have been reported as spam to enhance our spam detection capabilities. We also manually verify scanned images that are submitted to us to ensure the accuracy of the optical character recognition.

Workpex values your privacy and security. We limit access to your data and only allow access to employees who need it for technical support or data importing. Our policies are communicated to all employees and strictly enforced.

  • Collaborators and other users: When you work with others on our products and services, they may be able to see some of your profile information. This includes your name and profile picture when collaborating on shared documents.
  • Third-party integrations you have enabled: Many of our offerings can be integrated with third-party products and services. Enabling such integrations may grant third-party access to your service data and personal information. We urge you to carefully evaluate the privacy policies of third-party services and products before enabling any integrations.

Part III – General

Children's personal information:

We only collect personal information from individuals 16 years or older and will remove any information provided by children below 16 years. If you process information about children, comply with relevant laws and regulations.
